Print mailing and address labels from Google Sheets™

A mailing list needs one address per label, with the lines in the right order and the PDF matched to the paper in your printer. LabelFill makes that PDF from the current spreadsheet. It leaves your source cells unchanged. You can also use the free alternatives below.

1. Prepare the list and load the right cells

Keep one recipient per row, with separate columns for name, street, city, region, postcode and country as needed. Make postcodes display the way you want them printed before loading the list. LabelFill reads displayed values: a numeric 2139 formatted as 00000 displays and prints 02139. If the cell already shows 2139, LabelFill does not invent a missing zero. Keep international postal codes in their original form.

Install LabelFill from its product page, then open Extensions > LabelFill > Open LabelFill. Check the Google account shown: the free allowance and purchase belong to that account.

Choose Source deliberately:

Keep First row contains column headings checked if your loaded range begins with headings. Untick it if the first loaded row is already a recipient, so that address is included. Click Load addresses and check the reported range and row count. To use a different selection, select the new cells and load again. Loads support up to 5,000 address rows, 30 columns and 50,000 cells; select a smaller block if the list exceeds these limits.

2. Arrange the address lines

Under Address layout, each line becomes one printed address line. The field buttons insert column references at your cursor. References use the spreadsheet’s column letters, including when your selection starts beyond column A.

For example, if A is Name, B Street, C City, D State, E ZIP and F Country:

{{A}}
{{B}}
{{C}}, {{D}} {{E}}
{{F}}

Adjust the order and punctuation for your destinations. You can put several fields on one line. Blank address lines are removed; duplicate recipients remain included.

3. Match the exact label layout and first unused slot

The current choices are:

LabelFill choice Paper and labels
OL875 supplier PDF US Letter; 30 labels, three across and ten down. Uses the supplier PDF’s outline positions, which differ from its written margins.
FS21 A4; 21 labels, three across and seven down; 63.5 × 38.1 mm labels. Flexi’s supplier template reference is Avery® L7160.

Choose the stock you actually have. For another product code, use a tool with that exact template. OL875 and FS21 are their respective owners’ product codes. Avery® is a trademark of its owner; L7160 is FS21’s supplier reference only; no exact cross-brand alignment is promised. LabelFill is independent and is not endorsed by these suppliers or Avery.

First unused label slot counts left to right, then down. Enter 5 to leave the first four slots empty. This applies to the first PDF page only; later pages start at slot 1. Choose a font size from 8 to 14 points.

4. Preview all recipients and check the output count

Choose All addresses or deliberately choose First sheet only (remaining addresses excluded), then click Preview labels. Use Previous/Next label, the label number, or a label on the sheet preview to inspect its text and source row. Use Previous/Next sheet to inspect later pages. Guide borders appear only in the preview.

Check the page count and any omitted-address count. For example, 40 addresses on OL875 starting at slot 5 need two pages. First sheet only includes 26 addresses and explicitly excludes 14; it does not queue those 14 for automatic printing later.

Text wraps within the label. An overflowing address or unsupported character produces a row-specific error instead of clipped output. Adjust the layout, source text or font size, then preview again. If you edit source cells after loading, reload and preview before generating.

5. Generate the PDF, then print a plain-paper check

Preview is free. One generated PDF page is free in total per Google account, rather than one per document or per day. A multi-page output requires the $9 once/account unlock. While your free page remains, First sheet only lets you generate a single page with its omissions shown.

Click Generate download, then use the PDF download link that appears. The free page counts when generation completes, even if saving or printing later fails. You can download again from the same open preview. Retrying Generate for the latest unchanged completed job also avoids another free use while retry history remains. Changing the source or settings makes a different job.

Open the PDF and choose the matching paper size, 100% / Actual size, with Fit to page disabled. Print on plain paper first and compare it with your label sheet before using the stock. Printer margins and feeding can shift output; a correct PDF does not guarantee physical alignment.
